• Booking information: Events booked, attendance history, cancellation records
• Communications: Messages sent via in-app group chat with table companions

1.2 Information Collected Automatically

• Device information: Device type, operating system, browser type
• Usage data: Pages viewed, features used, interactions with the platform
• Log data: IP address, access timestamps, error logs
• Push notification tokens: Used to send event reminders and venue reveals

1.3 Information from Third Parties

• Authentication providers: If you sign in via Google or Apple, we receive basic profile information (name, email) from those providers
• Payment processors: Transaction status and reference IDs (we do not receive or store card details)

2. How We Use Your Information

We use your information for the following purposes:

• Account management: Creating and maintaining your account, verifying identity via OTP
• Event facilitation: Processing bookings, managing seat allocation, confirming attendance
• AI-powered matching: Analyzing quiz responses and profile data to curate compatible table groups
• Venue reveal: Communicating event details, including restaurant name and location, as the event approaches
• Communications: Sending booking confirmations, OTPs, event reminders, and venue reveals via SMS, WhatsApp, and push notifications, and sending welcome messages, offers, and Mixtable news by email and WhatsApp
• Personalization: Recommending events based on your city, preferences, and history
• Service improvement: Analyzing usage patterns to improve platform features and experience
• Safety: Detecting fraud, abuse, and violations of our Terms of Service
• Legal compliance: Meeting obligations under applicable law

3. AI Processing and Personality Insights

Mixtable uses AI systems — including third-party providers such as OpenAI and Anthropic — to process your Personality Quiz responses and generate personality summaries. These summaries are used to match you with compatible table companions.

Your quiz data is processed through our backend and transmitted to AI providers under strict data processing agreements. AI providers are prohibited from using your data to train their own models.

AI-generated personality summaries are shared with your matched table group members prior to the event to facilitate conversation and connection. You can retake the quiz at any time to update your profile.

4. Photos, Videos, and Promotional Use

When you attend a Mixtable lunch or dinner, our team or your fellow guests may capture photos and videos of the event. By registering for and attending a Mixtable lunch or dinner, you consent to Mixtable capturing, storing, and using such photos and videos in the following ways:

• Mixtable's own social media channels — Instagram, LinkedIn, Facebook, X/Twitter, and any other official Mixtable social accounts
• Mixtable's own promotional and marketing materials — our website, app, event pages, ads, and brand campaigns

This consent is limited in scope. We will never:

• Use your photos or videos on any platform, page, or account other than Mixtable's own official channels
• Sell, license, or share your likeness with third parties for their own marketing
• Use content in a way that is negative, defamatory, or portrays you in an unfavourable light — our use is strictly to celebrate and promote the Mixtable experience

If you would prefer not to be photographed or featured, let your host or our team know at the start of the meal, or email us anytime at hello@emails.mixtable.social or mixtable.social@gmail.com to request that specific content be taken down. We will act on removal requests promptly.

5. How We Share Your Information

We do not sell your personal information. We share it only as described below:

4.1 Within Your Table Group

Once matched, your first name, AI-generated personality summary, and selected interests are shared with other confirmed members of your table group. This is core to the Mixtable experience.

4.2 Venue and Restaurant Partners

We may share aggregate attendance information (headcount, dietary preferences) with venue partners to prepare for your arrival. Individual identity is not shared without your consent.

4.3 Service Providers

We engage trusted third-party providers to operate the Service:

• Meta (WhatsApp Business Platform): WhatsApp messaging for booking and event notifications, welcome messages, and offers
• Firebase (Google): Authentication, OTP verification, and push notifications
• AWS: Cloud infrastructure and storage
• MongoDB: Database hosting
• OpenAI / Anthropic: AI personality analysis
• Payment gateways: Payment processing

All providers are bound by confidentiality and data processing agreements.

4.4 Legal Requirements

We may disclose your information when required by law, court order, or government authority, or when necessary to protect the rights, safety, or property of Mixtable, its users, or others.

4.5 Business Transfers

In the event of a merger, acquisition, or sale of assets, your data may be transferred to the acquiring entity, subject to equivalent privacy protections.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. Specifically:

• Account data: Retained until you delete your account or request deletion
• Booking history: Retained for up to 3 years for financial and dispute resolution records
• Quiz and AI data: Retained while your account is active; deleted upon account removal
• Communication logs: Retained for up to 12 months for safety purposes

7. Cookies and Tracking

Our website uses cookies and similar technologies to:

• Maintain your login session
• Remember your preferences
• Analyze platform usage and performance

You can control cookie settings in your browser. Disabling certain cookies may affect platform functionality. We do not use cookies for third-party advertising.

8. Communications from Mixtable

By registering, you consent to receive:

• Transactional messages: OTP verification, booking confirmations, venue reveals (required — cannot be opted out of while account is active)
• Event reminders: Notifications about upcoming lunches and dinners you have booked
• Welcome messages: A welcome email and WhatsApp message when you finish setting up your profile, which may include a welcome offer or coupon
• Promotional messages: New events, offers, coupons, and Mixtable news, by email and WhatsApp (you may opt out at any time by contacting us)

WhatsApp messages, including welcome messages and offers, are sent via Meta's WhatsApp Business Platform using your registered number. Standard messaging rates may apply. To stop promotional messages, contact us or block the sender on WhatsApp, and we will honour your request.

9. Data Security

We implement industry-standard security measures to protect your information, including:

• HTTPS encryption for all data in transit
• JWT-based authentication with secure token handling
• Bcrypt password hashing (where applicable)
• Access controls limiting who within Mixtable can access user data

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

10. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

• Access: Request a copy of the personal data we hold about you
• Correction: Update inaccurate or incomplete information via your profile settings
• Deletion: Request deletion of your account and associated data
